1. How do I enter an Owner?

 C PMM Main Menu C Data Entry C Owners  (C = click)

 You will find a blank screen when you enter your first owner. For each additional owner C Insert (upper tool bar) and C New Record

 Suggestion: Until you are familiar with PMM+ go from one field to the next with the TAB key on your keyboard.

 Suggestion: The more information you enter in PMM+ the easier it will be for you to serve your client in a timely and more efficient manner!

 VERY IMPORTANT: The first field is OWNER ID: This cannot be changed after you leave the field and will stay in your computer for the next couple of years!

 Make sure that you choose a system of identification that will allow you to find this owner in the future without lists. Generally use the family name and the first initial. (Note: Do not use spaces, periods, dashes and signs of any kind.)

The Owner ID will convert automatically to upper case letters, even if typed in lower case. Refrain from the use of codes or numbers like most accounting systems require! Codes and numbers were the basis for the DOS system and are indicative of the “old” system.  Make sure the chosen ID is right before moving to the next field.

 Using the TAB Key, move to each additional field and fill in the blanks.

 The Contact field could be used for the person that you speak with most frequently.  For example,  (if the owners are John and Carla Smith and Carla is the person you usually speak with, you might put just Carla’s name in the Contact field).

 Leave the Country field blank if the owner’s residence is in the USA. Fill this field in only if the owner lives outside the United States.

 You can enter as many phone numbers as you like. To add a line in the phone field use  Control+Shift.

 Have the owner’s SSN available and enter it in the TaxID field. Every January you will be very happy to have all this information! 

 Enter important notes concerning the owner in the Notes field and for an effective track of all contacts, keep the contact log updated. In case of controversies, these notes can be an accurate source of information.

 

Don’t forget to save your information by C on the gray left bar!

 Congratulations, you entered your first owner!

a. Is there any way to have a global view of all my owners on one sheet?

 PMM+ is relational data software based on MS Access You will find a function on the left corner of your tool bar called Form Sheet View and one called Data Sheet View. C on Data Sheet view and you will find a spreadsheet containing all information stored in this feature. If you have installed a full version of MS Access 2007 you will be able to hide or unhide columns on this spread sheet by C on Format on the upper tool bar and C on Unhide Columns will open a window with all available columns. Check the columns you would like to have and uncheck the columns you don’t need.  When you close the spreadsheet, the information will automatically go back to the way it was.

 b. Is there any way to sort data on the Data View Sheet?

 Select the column containing the part of data that you would like to sort and C on the Sort Ascending or Sort Descending (A - Z or Z - A). As soon as you close, the data sheet view will restore automatically to the default set up.  

 c. How do I find a specific owner?

 Find Function: C Find function in the upper tool bar (Binoculars).  When PMM+ is opened for the first time each day, you must modify this function in the following way:  After you C on the binoculars and the Find and Replace box is open, C on the dropdown located to the right of Start of Field and choose instead, Any Part of Field.  Place the cursor with the mouse on the required field. Return the cursor with the mouse to the Find What field and type the first two or three letters of the item you are looking for or the number assigned to the item in the case you have used numbers. C on find next button and you will have the needed feature on your screen. If there are several items starting with the same letters or numbers, C again on Find Next until you find the needed information.
