Unit Status

This feature allows the property manager to have information about occupancy, maintenance history and be able to pass this valuable information on to the owners.

This function allows you to build up a log of all your contacts to a Site Manager.

C Main Menu C Property Management, C Unit Status, find the concerned Unit with the Find function of PMM.

Find Function: C Find function in the upper tool bar (Binoculars) Modify at the first use of this function the Match from the default Start of the Field to Any Part of the Field Place the cursor with the mouse on the UNITID  field. Return the cursor with the mouse to the Find What field and type the street address of the unit or the code assigned to the concerned unit if you have used numbers. C on find next button and you will have the screen of the requested Unit.

You will see a spreadsheet on the screen showing the occupancy of this unit!

Note:  If an “U”  (for unconfirmed reservation) shows on the availability screen you will be able to find the reservation number and tenant on this screen!

Reports generated from the Unit Status window:

Occupancy report:

This report will show you the occupancy of your units within one selected month.

C on Occupancy on the upper left side of your Unit Status screen, C on the month for which you want to know the occupancy, choose the year by placing the mouse on the “dropdown” and C.

Each day of the month is indicated across the top of the screen. You will find on the left side of the screen all your UNIT ID’s and the box indicating furnished or unfurnished units. The next column is red numbers indicating how many days in the selected month the unit is occupied. The black number is the reservation number and the xx’es show the days of the month in which each unit is rented.

This report can be printed and delivered to the leasing agents instead of the availability report.


Note: DC on the black reservation number will open the screen of that reservation. By canceling the reservation screen you will return to the occupancy screen.

In case your owner asks how the occupancy of his unit is, you will print the relating report by C on the Report button on the upper bar of the screen. This will open a calendar and allow you to select the chosen period for this report. This will open a multi-color report of the occupancy.

Note: If you have installed a full- version of Access 2000 all reports generated by PMM can be sent by e-mail directly from the computer. Call the PMM support line at 727 524 0098  to learn more information about this feature or ask your sales representative.

Maintenance History:

This report will give you the history of Work Orders generated with PMM. Con the Maint. History button on the upper part of your screen.

Suggestion: This wonderful  feature of PMM will allow your investor/owner,  in the case of a sale of this unit,  to replace the normally requested Owner Disclosure form with this report showing all repairs on this unit. Your investor/owner will be very pleased with you!

Note: Make sure you have the best description possible on your work orders and issue a work order for all service calls on the units.

Note: This important and unique feature of PMM provides an extremely accurate and useful picture of everything that has been done with the unit!

Note: All letters generated by PMM are designed to fit in standard window envelopes. No more labels or hand written addresses!

Rents Outstanding report:

C on Rent Outstanding on the upper part of the Unit Status screen. This will open an option to key a A Thru Date”. Key the date of the month on which the rent becomes late. This report will indicate for each reservation:

-          Number of the reservation

-          Name of the tenant

-          Outstanding amount of Escrow deposit

-          Outstanding amount of miscellaneous charges (Late Rent Fee, NSF fee)

-          Outstanding amount of rent

Based on this report you will have the possibility to call tenants or post late notices.

Note: PMM will not generate the late rent report automatically. You can ask the PMM support, in case of purchased training time, to originate a Mail Merger with Word for this feature.

Note: The dates of this report are generated in the reservation screen at the Charges field. Make sure to enter the correct due dates in the Charges on the Reservation screen to avoid inaccurate reports from PMM.

Note: This report will allow you to enter the late fees for the outstanding rents in the Charges A field on the reservation screen. These charges must be entered without checking Escrow or Rent!
